Getting started

What is YathraBook?

YathraBook is a billing and expense app for solo taxi, cab and auto drivers in India. You record a trip, it makes a numbered invoice, and you send it to the passenger, with or without a network.

Which devices does it work on?

Any Android phone, iPhone, iPad, tablet, laptop or desktop with an up-to-date browser. It installs to the home screen and opens like a normal app on all of them, and the same account works across every device you sign in on.

Do I need to be good with computers to use it?

No. Recording a trip is one screen: passenger, route, fare. If you can send a message on WhatsApp, you can send a bill with YathraBook.

Is there help in Malayalam?

Support is available in English and Malayalam. Write or call and someone will answer in the language you are comfortable with.

Installing it on your device

Do I need to download it from an app store?

No. YathraBook opens in your browser and installs from there, on Android, iPhone, iPad, Windows, Mac and Linux. A Google Play version is planned for later, but it is the same app, so there is nothing to wait for.

Does it work on an iPhone?

Yes. Open the app in Safari, tap the Share button, then Add to Home Screen. After that it opens full screen like any other iPhone app, and it records trips and makes invoices with no network, exactly as it does on Android.

Can I use it on my computer?

Yes. The same account opens on a laptop or desktop in any modern browser, and Chrome or Edge can install it as its own window. Useful for an end-of-month look at the numbers on a bigger screen.

Can I use the same account on more than one device?

Yes. Sign in with the same mobile number and your invoices, customers and expenses come down from the backup. Anything recorded offline on one device reaches the others once that device syncs.

Do I have to install it at all?

No. It works the same in a browser tab. Installing only adds the home-screen icon, the full screen and a faster way back in.

Working offline

Does YathraBook really work without internet?

Yes. Trips, invoices and expenses are saved on your phone first, so you can bill a passenger with mobile data switched off. When signal returns, everything backs up on its own.

What happens to the trips I recorded offline?

They sit safely on your phone and upload the next time you have a network. You do not have to press anything. Do connect once before you sign out though, because signing out clears the local copy on that device.

Is my data safe if I lose my phone?

Your trips are backed up to the cloud whenever you have signal. Sign in on a new phone and your invoices, customers and expenses come back.

Bills and GST

Can I send the bill on WhatsApp?

Yes. Every trip becomes a numbered invoice, and the app makes a PDF of it and opens your phone share sheet. Pick WhatsApp, email or anything else you already use. You can also just download the PDF for a company account.

Can the passenger pay me by UPI?

Yes. Save your UPI ID once in Settings, and every unpaid bill gets a Show QR button. The passenger scans the code with GPay, PhonePe, Paytm or any UPI app and the money goes straight to your bank account. The fare is already inside the code, so nobody has to type an amount.

Can I put my own logo on the bill?

Yes. Add your logo once in Invoice design and it prints at the top of every invoice. You can also pick one of three layouts and one of eighteen colours, and the preview shows the change as you choose.

Can I put my GST number on the bill?

Yes. Enter your GSTIN and business details once in Settings and they print on every invoice. If you are not registered for GST, leave it blank and no tax line appears.

Does it handle toll, waiting and night charges?

Yes. The trip screen has fields for base fare, per-kilometre rate, toll, parking, night allowance and waiting charge. Fill only the ones you use and the total adds itself up.

Can I mark a trip as unpaid and collect later?

Yes. Save the trip as unpaid and it stays flagged in amber on your home screen until you mark it paid by cash, UPI or card.

Duty slips, trip sheets and reimbursement

What is the SAC code for taxi services?

SAC 996412 covers taxi services, including radio taxis and similar services. It sits under heading 9964, passenger transport services. Renting a vehicle with a driver is classified separately under 9966, and leasing a vehicle without a driver under 9973.

What is the GST rate on a cab or taxi bill?

It depends on how you are registered, not on the trip. Passenger transport is generally charged at a low rate where you cannot claim input tax credit, with a higher-rate option that allows credit. The exact figures change by notification, so confirm yours with a CA before printing tax on a bill.

What details are required on a valid taxi bill?

An invoice number in one running series, the date, your name and contact, the vehicle number, the passenger name, the pickup and drop, the distance, the fare split, and the total in rupees. Add your GSTIN and a separate tax line only if you are GST registered.

What is a taxi duty slip?

A duty slip is the record made at the trip itself, before the bill: opening and closing kilometres, start and end time, toll, parking, driver allowance and the passenger signature. The invoice is then built from it. Corporate and rental work usually asks for one.

What is the difference between a duty slip and a trip sheet?

A duty slip covers one duty for one customer and is usually signed by the passenger. A trip sheet is your own running log of a day or a vehicle, covering several trips. The duty slip settles a bill, the trip sheet tells you what a vehicle earned.

How do I make a taxi bill my passenger can claim from their office?

Give a printed or PDF bill carrying a running bill number, the date and time, your name, the vehicle number, the pickup and drop, and the fare broken into its parts. Most reimbursement and LTC claims are rejected for a missing bill number or a missing route, not for the amount.

Does YathraBook make duty slips and trip sheets?

It records the same information on the trip screen, including opening and closing readings, toll, parking, waiting and night allowance, and prints it on the invoice. Your trip history is the running log. There is no separate signed duty-slip form yet.
